Security and continuity

Payroll data protection and service continuity

Strong authentication, restricted access and encrypted connections protect payroll data. Our servers are in Finland, and we prepare for disruptions with redundant services, encrypted backups and tested recovery procedures.

Data protection in practice

Our servers are in a Hetzner data centre in Finland. We are responsible for the application and its access controls.

Hetzner’s ISO/IEC 27001:2022 certified information security management system also covers its Finnish data centre operations. Read about Hetzner’s certifications.

Signing in to the service

Admin portal users sign in with a password and Authenticator verification or a Microsoft account. The My employee portal uses passkeys. Access is granted separately for each service according to the user’s responsibilities.

Separate client company data

Users can access data only for companies for which they have been granted access. Company access restrictions are checked on both the server and in the database, and data separation is tested.

Access based on responsibilities

Permissions to view, edit and approve data are limited to the tasks of each user, integration and automation.

Encrypted connection

Data transfers between the browser and the service are protected by an encrypted HTTPS connection.

Traceable changes and approvals

The event history records changes made by users and automations, including who or what made each change and when. Approvals are also recorded.

Preparing for disruptions and testing recovery

Payroll is time-sensitive. We prepare for disruptions through infrastructure design and documented recovery procedures.

01

Redundancy and monitoring

Core application and database services are redundant, and their health is monitored automatically. If an individual server fails, automatic switching to a standby server reduces the impact of the disruption.

02

Encrypted backups and recovery

Production databases are backed up to a separate backup service, where copies are stored encrypted. Service recovery from backups is tested in an isolated environment, and the tests are documented.

03

Controlled changes and data transfers

Before releasing changes, we test functionality and access controls, and check software dependencies and our readiness to restore the previous version. If delivery is uncertain, we verify its status before retrying.

Could your payroll process run more smoothly and cost less?

Let’s explore where your payroll process could run more smoothly and which tasks could be automated. In a 45-minute demo, we’ll discuss how you currently manage employee data, collect payroll inputs, calculate pay, submit reports and reconcile results.

We’ll also identify duplicate work, separate services and software costs. You’ll gain a clearer picture of what could be brought into AI Payroller, what is worth keeping and where it makes sense to start automating.
